BOZEMAN AMATEUR HOCKEY ASSOCIATIONBOARD OF DIRECTORS MEETINGOctober 1, 2007Haynes Pavilion Viewing Room – Bozeman, MT Mission: Provide facilities and programs for the development of quality, affordable and disciplined competitive and recreational hockey. 
  • Meeting called to order at 7:10 pm.  Board Members present: Craig, Deb, Jennae, Sheryl, Rob and Mark.  Mike absent.  Others in attendance: Julie, Sydni, Mike Hope, Todd G.
  • Minutes from 9/10/07 reviewed.  Motion to accept the minutes by Sheryl.  Second by Deb.  Voice vote unanimous.
  • Mike Hope  - First Icedogs Game
    • First Icedogs game is October 12th.  The GIF would like to thank major sponsors and give away free tickets (see the handout on file).  They will also advertise via radio, print, booster and TV at no cost to BAHA.
    • Craig noted that 500 is a lot of free tickets and doesn’t leave us with much to sell.  Homecoming is that night, so estimated that not all of the free tickets will come. 
    • We will have the bleachers by then, so seating shouldn’t be an issue.
    • Motion by Mark to approve the proposal.  Second by Sheryl.
      • Discussion from Rob that he doesn’t want this promotion to be on the first night.  There will always be something competing so this is as good as any time. 
      • Voice vote unanimous.
  • Mark Lachapelle – Gallatin Officials Association
    • Coaches will be getting appraisals forms for the refs for each game.  Adults will get them too.
    • They are down to 13-15 refs at level 3.  They need refs or there is a chance that a lot of adult games won’t have refs. 
    • There will be a training session at the end of October.  Mark will talk to the Icedogs to see if they are interested.  We will send out an email via the list serve.
    • They also need a locker room/trailer.  Some are ok with using Julie’s trailer, but it’s hard to manage the game and the rink from outside. 
      • Julie will look into getting a trailer at the south-west entrance for the refs.
  • Treasurer Report
    • See report on file.
    • There is $600 worth of reimbursements for Julie that Sheryl doesn’t have receipts for.  She needs receipts before she’ll pay.
    • Scholarships came to $1936.50, helping 7 families and 9 children.
  • GIF Report
    • Todd reminded BAHA that the appointments to the board are due in June.  Getting them done late causes delays.
    • The equipment was all donated to GIF per Martel’s tax return last year.
      • Not much that is in the junk pile is usable, other than the blue seats and some misc. items.
    • Regarding the insulation, the walls are all that’s left and metal liner will be going up the wall panels to 8 feet.  The roof still needs to be vented as well.
    • The scoreboard is hooked up and should be working by the 12th.
    • GIF wants to build risers out of wood to put the blue seats on, but Todd is still looking into the fire code.
  • Icedogs Games
    • We need 6 volunteers per game (2 ticket takers, 2 goal judges, 2 penalty box attendants), plus concessions staff.
    • Since the ticket sales benefit the whole organization, we need to split the volunteer time.  The youth will take the first 12 games and the adults will take the last 12 games.
    • Marty Quarters will be the game night manager.  He is the assistant coach for the Icedogs and helps coach the high school. 
  • Eagle Mount
    • No response from their organization.
  • Concessions
    • Julie Schmidt has volunteered to coordinate stocking and volunteers for the youth games.
    • As far as Icedogs games, we will have 4+ staff members (Julie and the PT zam drivers) who we can have help stock the concession and deal with money.
  • BFSC and Birthday Parties
    • The BFSC want to “host” birthday parties for 10-12 kids in the rink viewing room for no charge.
    • All participants will pay the public skating fee.
    • Discussion that we will limit their use of the room to be non-exclusive during the parties.
    • Motion by Sheryl to approve.  Second by Mark.  Discussion from Rob that he feels we are giving it away for free.  Voice vote unanimous.
  • Website
    • No update.
  • List Serve
    • This clearly isn’t working as people aren’t getting their emails.  Craig will look into.
  • Website
    • We are still having issues with UASH. 
    • If we can’t get their site to work, Gene McCloney will overhaul our site with Scott Lundberg.
  • Trademark
    • Jennae is trading phone calls with Toni.
    • Do we want a use agreement in case the Icedogs move or are sold.  Consensus is that if they move out of state then it is ok, but if they move instate it is not.
  • Adult Report
    • Hellcats
      • They now have six games.  Still need a security proposal.  Essentially it’s Julie’s job to manage those games and it’s her responsibility to deal with it.
    • Rob needs the schedule done by 10/3 for the captains meeting.  Mixers at 7pm.
    • We have 350+ players with more coming in.  We added three teams (2 power and 1 rec).
    • Puck lunch will have punch card options for both league and non-league members.
    • Rob would like to see the registrar position paid next year since it is too much for Julie to do while getting the rink ready.  Jennae will not be doing it next year.
  • Youth
    • The Squirt A state tournament will be here February 23rd.  Six team tournament.
    • MAHA
      • Next meeting is in Bozeman 12/1/07.
      • Teams around the state are only turning in B teams since they don’t want to get beat.  Now there is only one division with all the teams and the teams will be divided into A and B for the playoffs.
    • Coaching
      • All positions are full
      • Marty Quarters was hired as the Icedogs assistant coach and will be the High School coach.
    • Youth practices start October 15th.
  • Communications and Fundraising
    • Deb will email the team managers to see if their teams are interested in earning 25% for banner sales.
    • We also need to put up more brochure racks, either in the viewing room or in the entry hallway.
  • Facilities
    • The sidewalk is completed, but puddles are forming.  Rob will call and have them fix it.  They also paved too close to the door and we need to install grates there.
    • The insurance company came out and did an inspection.  There are a lot of things they want us to do, including more fire extinguishers, exit plans, etc.  Julie will work it out and Craig will also talk to Mike Delaney.
  • The next meeting will be November 5th, 2007 at 7pm at the library.
