BOZEMAN AMATEUR HOCKEY ASSOCIATIONBOARD OF DIRECTORS MEETINGJanuary 14, 2008Community Food Co-Op – Bozeman, MT Mission: Provide facilities and programs for the development of quality, affordable and disciplined competitive and recreational hockey. 
  • Meeting called to order at 7:10 pm.  Board Members present: Jennae, Sheryl, Rob, Mark, and Deb.  Mike and Craig absent. Others in attendance: Bruce, Julie and Glenna Patten.
  • Minutes from 12/3/07 reviewed.  Motion to accept the minutes by Sheryl.  Second by Mark.   Voice vote unanimous.
    • No member forum.
  • Treasurer Report
    • Three youth registrations remain unpaid:
      • Tyrell – paid half, now claiming hardship.  Family needs to approach the board for a scholarship.
      • Patten – Glenna will pay Sheryl tonight.
      • Samuels – Signed up for Icedogs, then moved to HS and played some games, now playing with Butte Jr. B.  Icedogs technically owe BAHA money for his games played and Mark will work that out with Sheryl by the next meeting.
    • Icedogs still owe $5,000 and Mark will pay this month.
    • Hellcats paid half of their rental fee.
    • Still need to determine how long we are getting the ice for.  This will affect our expenses as we will have to rent the building from the county as well as pay for extra utilities.  Craig has the info and we need to get that from him by the next meeting.

  • President’s Report
      • Craig absent.
  • Secretary
    • Icedogs Logo Trademark
      • Agreement signed.  Waiting on pictures and dates of first use from Mark.
    • New secretary – Bruce Mickelson
      • Motion by Mark to nominate Bruce Mickelson to the BAHA board in the position of secretary.  Second by Deb. Voice vote unanimous.
  • Website
    • Rich Zigrino is redoing the site and the templates are almost complete.  He is waiting on content.  We will link to the BFSC and Icedogs sites.  Rob would like an adult league page to post scores and stats.
  • Adult Report
    • Rob still working on the Winter Classic.  Will need people to help in the concession stands and will have a schedule available soon.
    • Still working on the second half of the schedule.
  • Youth
    • MAHA - Mark and Kevin are drafting a proposal for direction and hope to get 6-7 other organizations on board.
    • Mites – Reorganizing to create 4 equal teams and will do skills on Tuesday and play house games on Thursday.  Mark ordered jerseys ($400) and the club will keep them for next year.
  • Communications and Fundraising
    • Deb is resigning her position effective as soon as a replacement can be found (resignation sent via email).
    • Mark would like to see the Communications and Fundraising position redefined and general consensus that the position should be doing something different/more than just banners, but not clear what that should be.
  • Facilities
    • Mike Hope/Beer at Icedogs games - Mike is worried about selling beer at the games because so many people are bringing in other alcohol.  If something happens to those people he can still be liable since he’s selling.  We will try to think of a plan, maybe hiring security, to stop people from bringing it in.
    • First Aid Kits - Julie bought two but now can’t find them.  She’ll talk to the zam guys and will also look into buying more for the concession room as well as putting them on the locker room walls.
    • Compressors
      • All four are now running thanks to Scott Lundberg.
      • Quote to purchase a reconditioned compressor is $3,000 plus shipping.  We spent $1,300 to fix one but we can’t fix the other one – will have to buy.  Original budget to fix was $2,500 so we still have $1,200 left from the original budget.
      • Motion by Mark to spend the additional money needed to purchase a reconditioned compressor.  Second by Deb.  Voice vote unanimous.
    • Quote to convert the Olympia for $3,100 from Performance Forklift, which is $700 more than originally budgeted.  Motion by Sheryl to spend the extra money to convert the Olympia.  Second by Bruce.  Voice vote unanimous.
    • The entry way lights need to be replaced as the entry way is too dark.  The two options are to either replace the existing halogen with spotlights or hang two tubes of fluorescents, though Julie was unsure of code for the placement of the tubes.  Estimate from the electrician was $250.  Julie authorized to fix at her discretion.
    • Bar 3 BBQ
      • Hunter Lacy would like to offer a sandwich combo coupon at Icedogs games for a $1 donation to BAHA at the ticket window. 
      • Discussion that $1 was too little and that the concession stand might be a better place for the coupons as the ticket takers already have enough to deal with.
      • This could be more than just an Icedogs event – could promote at youth games and Winter Classic.  We could also use programs like this to promote the Icedogs, such as sponsor nights. 
      • Rob and Julie will follow up with Hunter regarding the details.
    • Rob noted that with 5-6 employees at the rink now that it should be spotless yet he always sees employees standing around.  They should be encouraged to continuously pick up and be looking for things to do.
  • Rink Manager
    • We are waiting to see what the county does with the parking lot lights before we proceed with the walkway lights.
    • Julie has called to get additional fire extinguishers but is still waiting for them to be delivered and set up.  We also need to have the open electrical box covered.  Julie will have the electrician do it when he comes to fix the entry way light.
    • The pop machine in the concession room is not working and Julie can’t get a hold of them to fix it.  She has left several messages with no response.  Only option is to keep calling.
  • Newsletter
    • Content is due Friday the 18th and the newsletter will go out the 25th.
    • Discussion that with the new website that will have a newsletter page we should still send out a letter but link to the website instead of attaching a PDF.  We should also still continue to print some copies for the concession room.
  • The next meeting will be February 4th at 7pm at the library.
